How to dictate in Apple Mail

Apple Dictation works well in Mail and is free. Start there for short replies. For longer email, watch for its silence cutoff and uneven punctuation.

  1. Free · works today

    Use the built-in first

Turn on Dictation under System Settings > Keyboard. macOS may download a language file.

Open a message and click the body. Press the microphone key at F5 on MacBooks from 2021 on, or fn twice on other keyboards. A small A mic window appears. Speak the punctuation: "Thanks for the update period new paragraph" comes out formatted.

For more detail, see how to dictate on a Mac, and the Mac dictation commands cheat sheet.

  2. Where it strains

Know its limits before a long email

Dictation stops after about 30 seconds without speech, and no setting extends it. Pause too long and you must restart the session.

Automatic punctuation can be uneven. For important email, review it or speak the marks yourself.

Corrections still happen at the keyboard. This is minor for short replies and more tedious in long messages.

  3. The upgrade

Hold to talk, for the long ones

Dictate is our app. Hold the hotkey and speak; recording continues until you release it.

Punctuation is automatic, and an optional polish step removes fillers and false starts. Text lands at your cursor in Mail.

    The landing

Thanks for the update. Wednesday works for me. Send the contract over and I'll sign it that morning.

Spoken with pauses. Inserted with punctuation.

Dictate needs a connection. Audio travels over TLS, is transcribed, then discarded. It costs $8 a month, one plan. The same hotkey works in every app, including Gmail in the browser.
